Privacy Policy

This document is a general baseline. Agonix LLC recommends review by a legal professional before treating it as final.

1. Data controller

Agonix LLC (Wyoming, USA). Data contact: info@thekairos.io.

2. Data we process

Account data: name, email and password (stored encrypted). Company data: name, jurisdiction, EIN, dates, owner and tax residence. Documents you upload and the data extracted from them. Billing data (via Stripe). Technical data (IP, access logs).

3. Purposes and legal basis

To provide the service (deadline computation and reminders), manage your account, invoice, provide support and ensure security. Bases: performance of the contract, legal obligations, legitimate interest and, where applicable, your consent.

4. Third parties and processors

To provide the service we share strictly necessary data with:

Anthropic, PBC (USA): vision AI model that reads the documents you upload to extract key dates.
Stripe: payment processing.
Resend: email delivery (reminders and notifications).
Hosting provider: servers where the platform runs.

4a. Data agencies upload about their clients

When an agency or firm uploads data about its own clients, the agency is the data controller and the Operator acts as data processor, under the data processing agreement that forms part of the Terms. The providers in section 4 act as sub-processors.

5. International transfers

Some providers are located in the United States. Transfers are carried out with appropriate safeguards (contractual clauses or equivalent measures).

6. Retention

We keep data while the account exists and for the applicable legal periods; afterwards it is deleted or anonymised.

7. Your rights

You can exercise your rights of access, rectification, erasure, objection, restriction and portability by writing to info@thekairos.io. If you reside in the EU, you may also lodge a complaint with your supervisory authority (in Spain, the AEPD).

8. Security and cookies

We encrypt communications (HTTPS), control access and store documents outside the public server folder. We only use technical session cookies; we do not use advertising cookies.
